Here's how it works:
Step 1. Manage Plans

Define your process and create a plan for it. A plan consists of activities that you do in the same sequence in the course of your business.
You can create Action Plans, Marketing Plans, and in Business Contact Manager, Project Plans. A particular process or plan could include tasks, phone calls, emails, letters or meetings. These are steps in the plan.
When you add a step for a letter or email, you specify the template you wish to use.

Add Steps to Your Plan:
Emails and Letters
You can include steps in your plan that will send out emails and letters. The emails need Outlook 2000 or later to send emails and Word 2000 or later for letters.
You can create templates using either Word or an HTML editor such as Front Page.

Insert merge codes to combine data from ACT!, Outlook or Business Contact Manager into the body of the template to highly customize and personalize the message.

Enter a Subject for the email or Regarding for the letters and the pinpoint Marketing tool will enter history showing what was sent to whom on what date. You can assign the step to another user in your ACT! database to delegate the tasks to your staff.

Add attachments to your emails by clicking on the green plus icon to browse your files.

Calls, Tasks, and Meetings
This is where the marketing process turns your contact database into a money making machine. Schedule any combination of Tasks or Appointments in Outlook, or activities in ACT! and assign them to various people on your staff.
When applied to contacts, they show up in your task list and calendars just like they were scheduled there by you. You have the same options as if you had entered them manually.

To use this as a sales process tool, include the Step number and you'll see where you are in the cycle, or include the Date in the Regarding field to sort your task list to see the oldest items first.

You can schedule X days starting from a Start Date, or -X away from a Target Date. You can also schedule by weeks, months, or years. If you have a highly defined process to implement, specify a day of the week or month, or even the 1st Monday of each month, for example.

You can put merge codes in the subject of your steps so that contact information will display on your task list and calendar.
If you're a Business Contact Manager user, you can create Business Projects with pre-defined Project Tasks.

Step 2. Apply Plan to Contacts
|
Use the powerful Lookup feature to select contacts, then apply the plan to them. This is what actually schedules the calls, tasks, and meetings in Outlook or ACT!, plus schedules the emails and letters to be sent from the pinpoint Marketing tool.
This gives you a powerful way to target subsets of your database, or apply plans to individuals based on where they are in the sales or fulfillment process.
Lookup Options for BCM users include Category, Search Folder and all Contacts folders. Act users can select contacts using ACT Groups.
Find contacts effortlessly with Wild Card Search. For example, if you search the Last Name field for "smi*", you'll get Smith, Smithe, Smits and any other last names that begin with "smi".

Step 3. Deliver Emails/Letters

Each day that you have letters or emails scheduled to go out, you just click one button to "send/print all" and you're done. Or, you can use Windows Task Scheduler to have emails automatically sent and letters automatically printed.
Not only have you sent your message, your contact database is automatically updated to show which step was completed, so you'll know exactly where you are with each person in your database.

If you're tracking sales opportunities you can number each step so you'll know where you are in the process instantly.
Click on a calendar to see all the emails and letters to be sent out that day, then choose to send one or all at once. Emails are sent to your Outlook Outbox and letters are sent to your default printer for your PC with just a couple of clicks of your mouse.
Or you can schedule the emails and letters to go out AUTOMATICALLY! Windows Task Scheduler will look at what you have to send out each day and automatically send your emails and print your letters.
Your database history is updated to show which template was sent to which contacts, giving you a chronology of all the marketing activities that each person has received.
